Purchase order & receiving software for distributors: Buy what you’ll sell, know what it cost.
DistrX.io suggests what to reorder from recent sales, reorder points and each vendor's lead time. You receive against the PO at the dock and spread the freight into landed cost, so every margin report starts from your real cost.
From reorder point to vendor bill
The buying side of the business, kept in step with the selling side.
Reorder points
Set a reorder point and an order-up-to level for each product and warehouse, or let DistrX.io suggest them from recent sales.
Vendor lead times
Each vendor has a lead time and a minimum order, so suggestions cover the days until the next delivery arrives.
Suggested POs
The reorder list groups what to buy by vendor. Review it, adjust the quantities and make every PO in one step.
Receiving
Receive against the PO on a tablet at the dock. Record the lots, expiry dates and anything short or damaged.
Landed cost
Freight, duty and other charges are spread across the PO by value, weight or quantity, and become part of each item’s cost.
Vendor bills
Received POs become vendor bills and go to accounting, so payables match what actually arrived.
Know what to buy before you run out
The reorder list looks at what you have, what is already promised to orders and what is on its way, and compares it with your reorder points. It groups what to buy by vendor.
- Backorders count toward the suggestion
- Purchase orders already placed are counted as incoming
- Each vendor’s minimum order and case quantities respected
What arrived, and what it really cost
Receive at the dock against the PO. Anything short stays open, anything damaged is recorded, and freight is spread into each line’s landed cost. That cost is what your margin is worked out from.
- Lots and expiry dates captured as each line is received
- Received stock is available to sell straight away, and backorders can fill from it
- Average cost updated from landed cost when stock is received

Anything else? Email us — a human replies.
Can I email POs to vendors?
Yes. An approved PO is emailed to the vendor as a PDF, and you can print it or download it too.
What if a delivery arrives short?
Receive what came. The rest stays open on the PO until it arrives or you close it. The vendor bill is made from what was received.
How is freight split across items?
By value, by weight or by quantity, whichever you choose on the PO. It is worked out to the cent, so the split always adds up to the freight bill.
Who can approve a purchase order?
Anyone whose role allows it. You can require approval for POs over an amount you set.
